Assigning Contacts to Team Members

Distributing leads to the right team member ensures fast follow-up and accountability.

Manual assignment

From any contact detail page, click the Assigned To dropdown and select a team member. The assigned agent receives a notification and the contact appears in their personal view of the CRM.

Round-robin assignment

Enable round-robin in Admin > CRM > Assignment Rules to automatically distribute incoming leads evenly across your team.

How it works:

  1. A new lead comes in via a contact form
  2. The system checks which team member received the last lead
  3. The next member in the rotation receives the new lead
  4. Notifications are sent to the assigned agent
Round-robin only applies to new leads from forms and chat. Manually created contacts are assigned to whoever creates them.

Assignment rules

You can create custom rules to route leads based on:

  • Source — Leads from a specific landing page go to a specific agent
  • City — Leads interested in Mississauga go to your Mississauga specialist
  • Project — Leads from a specific project page go to the agent handling that launch

Reassigning contacts

To reassign a contact, open their profile and change the assigned agent. The previous agent loses access (unless they are an Admin), and the new agent is notified.

Bulk assignment

Select multiple contacts from the CRM list view and use the Bulk Actions menu to assign them all to a specific team member at once.
